Setting up Xero
1. Connecting to Xero
From your hellohr account dashboard (homescreen), select the company/client you wish to connect to Xero. Once a company/client has been selected, click the blue ‘Xero’ icon located to the left of the screen, at the bottom of the navigation panel.
A pop-up box will appear reading ‘Xero status’. Under the ‘Status’ tab, click the ‘Connect to Xero’ option. You will then be directed to the Xero login page. Please enter your Xero login details. You will be prompted to allow Xero access to hellohr. Select the applicable company/client and click “Allow access”.
After allowing access, you will then return to the ‘Xero Status’ pop-up. Note how the status has changed from “Disconnected” to “Connected”. Once again, select the applicable tenant (or company/client profile you would like to work with).
Lastly, click the ‘Save’ icon.
2. Mapping applicable accounts
You have just saved the connection you have made to Xero. While still in the ‘Xero Status’ pop-up, click the ‘Mapping’ tab. Click the option ‘Fetch Accounts’. This will identify and list all the accounts you have created with Xero. You may then select the accounts you would like hellohr to send specific balances to.
For example, next to ‘Basic Salary’, you select your Xero ‘Wages and Salaries’ account. This means that the hellohr balance of your basic salaries will be posted to your Xero Wages and Salaries account.
Once you have mapped all the applicable accounts, proceed to run payroll.
3. Running payroll
Ensure you are looking at the hellohr dashboard/homescreen. Click the ‘Run Payroll’ option located on the left-hand side of the screen/dashboard. If the ‘Xero status’ pop-up appears, click anywhere outside of the pop-up to get back to the payroll dashboard. Click ‘Run Payroll’, or alternatively, click ‘continue editing’ on an existing draft payroll. Complete the payroll process, and finalise your payroll. Under the last step in the payroll process (‘5.Confirm’), click the ‘Post to Xero’ option, and then the ‘Go to Xero’ link that will appear.
Note: Payroll does not need to be finalised before it can be posted to Xero.
4. Post to Xero/Go to Xero
After clicking ‘Go to Xero’, you will be directed to Xero. Here, you will be able to view the journal(s) that have been processed by hellohr. You may click the journal entry for more information regarding which accounts were debited and credited. There are draft journal entries. To finalise these journal entries, click the green ‘Post’ option.
Congratulations! You have successfully set up and run your first Xero integration.
